PART-TIME, TERM

TERM DATES: June 2021 – June 2022.

Job Summary: Reporting to the Director of Development, the Events Coordinator will manage and coordinate our two signature events and offer support to our stewardship event activities.  Working closely with the Fund Development team and event committees, the Events Coordinator is responsible for planning and implementing Phoenix events, with a focus on logistics, ticket sales, attendee experience, and sponsor stewardship. 

This is a 0.4 position, with flexibility on days and hours. This position is suited for an enthusiastic, creative, results-oriented professional who is detail oriented with exceptional organizational, prioritization and planning skills, and who thrives in a fast-paced and demanding environment.

Compensation: $24.00 per hour, Employee and Family Assistance Program.

Hours of Work: This is a 0.4 term position with flexibility on days and hours. This position will be scheduled for approximately 8-16 hours weekly, except during event periods, where the scheduled hours will increase to approximately 16-32 hours weekly. Some evening work required based on activity requirements.

Location: Temporarily remote; Spring Garden Road, Halifax.

Reports to: Director of Development, Fund Development.

Screening Requirements: Due to the sensitive nature of our work with youth, this position is subject to a satisfactory criminal record check including a vulnerable sector search, a child abuse register check and proof of education.

KEY RESPONSIBILITIES:

As an integral member of the Fund Development team, the Events Coordinator will:

  • Coordinate and engage with volunteer event committees.
  • Manage logistics for fundraising events (Dreamscape, Holiday Luncheon) including venue, catering, AV, budget management, and entertainment.
  • Build and manage critical paths, production schedules, script writing, stage management, rehearsals, etc.
  • Coordinate onsite fundraising logistics including raffles, auctions, prizes, etc.
  • Provide support for financial management including payables, receivables, and budget reconciliation.
  • Manage ticket sales processes including e-commerce, tracking and financials.
  • Liaise with the Community Engagement Manager to provide support for volunteer recruitment and management for day of volunteers.
  • Execute sponsorship & stewardship obligations.
  • Support stewardship events (Donor & Volunteer Appreciation, Holiday Open House, other).
  • Commit to continued learning and growth.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER REQUIREMENTS:

  • Excellent organizational skills and acute attention to detail.
  • Resourceful and flexible with an ability to work both collaboratively and independently.
  • Comfortable with networking and has a natural ability to build meaningful relationships; confident and eager to engage with donors, sponsors, volunteers, and colleagues.
  • Excellent understanding of the issues surrounding confidentiality and a high level of integrity.
  • Understanding of youth social justice issues.
  • Openness and commitment to ongoing learning.

EDUCATION AND EXPERIENCE:

  • Two to three years’ combined experience in events management, preferably in a non-profit organization.
  • Comfort with Raiser’s Edge and fundraising platforms/websites considered an asset.
  • Access to a vehicle is an asset and the ability to travel within HRM is a necessity, (once it is safe to do so).
